Three steps take you from a blank page to a live, automated process.
Create a form
A form is the basis of every task. Drag and drop the components you need, including text boxes, drop-down lists and radio buttons, then set their properties. Use one form across a whole process, or a different form at each step.
Build a task
A task is a process flow. Add components in the order you want them to run: a start action, user action, approval, send email, send SMS, API, Sharepoint, export and more. Set each component's properties and save. There's no coding. Just click a component and fill in the fields.
Run it
How a task starts depends on its start action. User tasks run when someone submits a form. Email tasks pull in messages on a schedule. API and Print tasks run whenever a call arrives or a document is printed. From there the flow moves itself forward.
Build the exact form each step needs by dragging components into place and setting their properties. Add hints to make document extraction even more accurate. A simple process might use a single form from start to finish. A multi-step approval might use a different form at each stage, with every completed form visible to the next person. Any field data can be used for conditional tests or included as text by any other task component by using variables.
Chain together start actions, user actions, approvals, emails, SMS messages, conditions, Sharepoint, export and API calls to model any process. Add variables and conditions so the flow can branch based on what's been entered into a form. Create as many tasks as you like, of any type, so NeoDocs can run across accounts, sales, production, warehouse, delivery and more.
Pull data straight out of inbound PDFs. Data will be automatically matched to the form fields whenever a matching document arrives. Ideal for supplier invoices and delivery documents, and available on any task where you want forms filled from a PDF. Document extraction can be done either from the interface or automatically when files arrive from email, print or api. If you'd rather not use document extraction, you can always enter the data manually.
A Windows application, for PC or Server, that turns any print job into a task. Download your Print-type tasks and they appear as virtual printers. Print to them from any application, including your accounting system, ERP, Office, or non-Windows hosts like Unix, Linux and AS400, and the output is saved to NeoDocs as an attachment, data extracted to a form and a new task queued. Install it inside your business, or let other companies print straight into your task flows with no APIs or programming.

iOS and Android apps are included in every subscription. Mobile users can start and action tasks from their phones, capturing signatures, photos and file uploads in the field. New tasks allocated to a user appear on the app immediately, and everything they submit is available in the web application straight away.

Running tasks
When a task is triggered it becomes a queued task. Some queued tasks just fire, sending an email or SMS and moving on. Others wait for a person to act, such as approving a leave form, allocating an invoice or completing a delivery.

A user action can be handled two ways:

Using the web application.
Each user can view open and closed tasks in their Task Queue. They can save, submit and pass tasks to other users.

Using the mobile app.
Each user action shows the form and any attachments, and can be submitted or passed to another user. On an accounts payable task, for example, an approver can add notes and pass the invoice to a second approver, who submits it ready to post into your accounting system.
